When to meet? is a simple scheduling service. This policy explains what information is used when someone creates or responds to a meeting.

Information we use

• Meeting information, including its title, timezone, dates or weekdays, duration, and offered time slots.
• The name and availability submitted by each participant.
• Random meeting, organiser, and participant identifiers used to open meetings and remember your selection.
• If you choose Google sign-in, your Google display name is used to fill in the name field. The Google ID token is sent to the server for verification but is not stored. The service does not store your Google email address.

How the information is used

The information is used only to create meeting links, save availability, show who is available, calculate the best meeting times, and protect the service from automated abuse. A short-lived, one-way fingerprint derived from network and browser information is used for meeting-creation rate limiting; it is not stored in the meeting database.

Storage on your device

The site uses browser local storage—not its own advertising cookies—to remember random access tokens and, if used, your Google display name. Clearing this site’s browser data removes those locally stored values and may prevent you from editing an earlier selection.

Google sign-in

Google sign-in is optional. When used, the server verifies the token’s signature, intended audience, issuer, and expiry before trusting the supplied name. Google may process information according to its own privacy policy. You can always enter your name manually instead.

Service providers

Cloudflare provides the website hosting, serverless processing, and database storage. Google provides the optional sign-in service. Information may be processed by these providers as needed to operate their services.

How long information is kept

Meetings made with specific dates expire 30 days after the final selected date. Meetings made with recurring weekdays expire 180 days after creation. The meeting and its saved availability are deleted after expiry.

Sharing and visibility

Anyone with a meeting link may be able to see participant names, availability, and the calculated best times. Do not submit sensitive information as a meeting title or participant name. Information is not sold or used for advertising.

Your choices

You may use the service without Google sign-in. Participants can delete their own saved availability from the meeting page. The organiser can delete the entire meeting and all availability from the browser where the meeting was created.
